Maximizing Efficiency in School Operations: Training Staff for Smarter Resource Management

These days, running a school successfully requires much more than just a cracking curriculum and top-notch teachers. The modern school is an ecosystem, and relies heavily on efficiency and management of often limited resources. From administration to facilities like cleaning and catering, schools are under increasing scrutiny as to how their resources are managed - and this can mean the difference between “outstanding” and “must try harder”.

School relies on efficient management of resources

Why Staff Training Matters In School Operations

The thing about investing in fancy tech and implementing new systems is that, in the end, success depends on the people using them. Instead of teaching staff to push the right button at the right time, education needs to dig a bit deeper. Comprehensive training is about not just telling people how to do something - but also explaining why they’re doing it.

School admin and facilities people can only work effectively when they have all the necessary information such as knowing their way around work orders, and having access to information about spaces and equipment. You also need to arm these employees with tools such as knowledge of preventative maintenance and an overview of how assets, budgets and safety resources have a knock on effect on the learning experience as a whole. The great thing about the modern world is that there are now so many ways of delivering this information to staff including apps and operations platforms.

Integrating technology into daily operations

We’ve come a long way since paper records and random systems (and if you haven’t, that’s a whole ‘nother issue!). Schools today rely on advanced technology to centralize systems and schedules, optimize space usage and, most importantly, protect that all important data.

No-one can do without technology to help them...

School asset tracking in particular is essential for providing a central, single source of information for all physical school resources. This includes delivering real-time updates on the location of items as well as condition and historical usage. This is made possible through data insights and automated alerts for maintenance.

These tools allow staff to be proactive in safeguarding equipment from theft and misuse and to manage these resources much more efficiently.

Bridging the gap between facilities and administration

Bad things happen when school admin and facilities staff don’t talk to each other because both are focused only on their own priorities. The secret sauce here is in visibility - developing shared resources which deliver visibility without the drama. Employees from these groups should be trained together in order to:
  • Manage and clarify expectations and roles
  • Demonstrate the impact of actions
  • Facilitate better problem solving
When departments work together rather than against one another, they save time, money and hassle and create stronger teams.

Preventative maintenance: The hidden hero of efficiency

Constantly being reactive to maintenance issues within a school is kind of like playing a game of Whack-a-Mole and is often a drain on time and resources. Preventative maintenance is the art of spotting and predicting potential problems and fixing them before they escalate.

Best to think about problems and fix them before they start

Teaching staff to understand this is vital and training should include ways to deal with preventative maintenance without sacrificing emergencies, using technology to automate and track tasks. It’s also vital to demonstrate how doing this saves the school and individuals precious time and cash.

Using data to drive better decisions

These days, the education system lives and dies by its data and so learning to manage this should be at the tippety top of those lists of priorities. By combining advanced tools with informed employees you can gain valuable insights and identify areas where money can be saved, reallocate under-used resources, measure the impact of operational changes and present real evidence to back up budget requests.

In modern schools, data literacy is of paramount importance and should therefore be an integral part of any staff training program.

Encouraging a culture of ownership

We’ve long since realised that simply barking orders at underlings and expecting great results doesn’t work; particularly when resource restraints mean that you need to get the very best out of your people. Because of this, success lies instead in making sure that every member feels responsible for the success of the school - and we call this ownership. This kind of culture costs time and thought rather than money and is all about involving staff in operational decisions and improvements, recognising great work and providing - and encouraging - regular feedback. For employees, a culture of ownership turns a job into a role in which they feel valued and heard.

A holistic approach: Combining people, process and technology

Like any other type of organisation, a successful school is a marriage of people, technology and processes. That fancy new tool you’ve just invested in will be pretty much worthless without trained staff and, similarly, super-qualified staff won’t get the job done without the tools they need.

We're all in this together

This is why the following holy trilogy of Ps is essential for a forwarding thinking school:

People - Employees who are engaged and empowered through training and ownership
Process - Clear and streamlined workflows for proper visibility of assets and maintenance schedules
Power of technology - Intelligent tools and centralized hubs that provide clear and accessible workflows

For schools, the three Ps provide a clear path for smart and sustainable operations models to provide clarity both now and in the future.

Looking Ahead: The Future of School Operations

Operations are the very sun around which school environments revolve, and it’s vital that they're able to move with the times. Getting onboard with digital tools, IoT and AI is key for:
  • Continually keeping training programs up to date and relevant
  • Sourcing the right tech for integration with workflows
  • Using data to drive decisions and forecast challenges
The future may be bright but it’s also complicated and so, by getting on board with these practices, schools are more able to future-proof their success.

Providing a good education requires an effective plan for operations

Conclusion

While curriculums may be the beating heart of a school, operations are the lifeblood that provides the infrastructure that makes the magic happen. Good education relies on so much more than academics - it’s about providing a safe, clean and organised environment to allow young minds to engage and flourish. This means that training staff in smart operations protects resources and time, which means that schools - and pupils – have a great change of reaching their full potential.
